Automatically collected information
HIBN - Hispanet may automatically collect information about your computer's hardware, your browser, and your interactions with our website using analytics, optimization, and marketing tools. Use of cookies
The HIBN - Hispanet website may use its own and third-party cookies to help you personalize your online experience. One of the main purposes of cookies is to provide a convenience function to save you time. The purpose of a cookie is to notify the web server that you have returned to a specific page. For example, if you completed an online scheduling form, a cookie helps HIBN - Hispanet remember your specific information on subsequent visits. When you return to the same HIBN - Hispanet website, the information you previously provided can be retrieved so you can easily use the HIBN - Hispanet features you have customized.
You can accept or reject cookies. Most web browsers automatically accept cookies; however, you can generally modify your browser settings to reject them if you prefer. If you choose to reject cookies, you may not be able to fully enjoy the interactive features of the HIBN - Hispanet website.

We do not collect any personal information about you unless you voluntarily provide it to us by:
Submitting our contact form
Scheduling an appointment through any of our online scheduling forms
Using our chat service

When you submit a form on our website, we may also collect certain metadata, such as the webpage or advertisement that referred you to our site. This information may be captured through a hidden field in the form and stored along with your contact data in our CRM system. We use this information for internal analysis, tracking advertising performance, and improving the way we connect with potential customers. This referral data is not used for automated profiling or decision-making, and is never shared with third parties for independent use.
We will use your information, among other purposes, to communicate with you about the services you have requested. We may also collect additional personal or non-personal information in the future, as necessary to complete the requested service.
WHEN USING OUR PRODUCTS
When using any of the HIBN - Hispanet products, we may collect the necessary information for the delivery, installation, and support of the product, as well as for compliance with related service agreements. This information may include business data and personally identifiable information, such as names, contact details, company information, billing data, and ERP system data relevant to the services provided.
Since most of our products are add-ons for your existing Odoo ERP system, HIBN - Hispanet needs access to your system to complete the installation and configuration. As self-installations are currently not allowed, the HIBN - Hispanet team will assist you with the setup and may access certain business and operational data from your ERP environment to ensure proper implementation and functioning.
The use of our products requires the signing of a product or service agreement with HIBN - Hispanet. All information provided or accessed within the framework of this relationship will be protected in accordance with this Privacy Policy and the terms of your specific agreement with HIBN - Hispanet.
We do not collect personal information unless you provide it voluntarily, and we do not use your information for any purpose outside the scope of the services you have contracted.
PROCESSING, USE, AND STORAGE OF YOUR PERSONAL INFORMATION
HIBN - Hispanet collects and uses your personal information to operate and provide you with the requested products and services. We process and store the data collected through the HIBN - Hispanet management system. This information is encrypted, and we follow a robust architecture where all servers are located in private subnets and only a load balancer is in the public subnets. Administrators and technical personnel must access the VPN to reach the servers. All staff accessing confidential information must have Norton Antivirus or similar antivirus installed on their computers, according to company policy. The website administration panel is only accessible to personnel with valid credentials.
HIBN - Hispanet may also use your personal information to inform you about other products or services available from HIBN - Hispanet and its partners and affiliates.
When installed in your Odoo ERP, some of our products allow you to collect data from your customers. HIBN - Hispanet only has access to this data during installation and when assistance is required. The information is not collected or stored in the HIBN - Hispanet database nor is it kept for the internal use of HIBN - Hispanet. For example, when you connect your Odoo Retail solution to platforms like Amazon, BigCommerce, or Shopify, the application will access your seller account information, such as order management, inventory management, billing information, and other information necessary to complete order processing.
HIBN - Hispanet is not responsible for the data you collect from your customers, but during the provision of the service, we will process this information in accordance with data protection legislation. In particular, HIBN - Hispanet is committed to:
Only process the data when and according to your instructions, and to provide you with the services you have requested, unless the law requires otherwise, in which case HIBN - Hispanet will notify you in advance, unless prohibited by law;
Ensure that all individuals within HIBN - Hispanet authorized to process your personal information are committed to maintaining confidentiality;
Implement and maintain appropriate technical and organizational measures to protect your personal information against unauthorized or unlawful processing and against accidental loss, destruction, damage, theft, alteration, or disclosure;
Immediately forward any data protection request that has been submitted to HIBN - Hispanet in relation to your database;
Notify immediately upon becoming aware and confirming any processing, disclosure, or accidental, unauthorized, or unlawful access to your personal information;
Notify you if, in the opinion of HIBN - Hispanet, the processing instructions violate applicable data protection legislation. We will provide you with all necessary information to demonstrate compliance with Data Protection Legislation, and we will reasonably allow and contribute to audits, including inspections, conducted or requested by you.
We will permanently delete all copies of your database in the possession of HIBN - Hispanet, or we will return such data to you, at your preference, upon the termination of your service contract with HIBN - Hispanet, subject to the timelines specified in the contract.
We will only retain such data and databases for as long as necessary for their collection, as set forth in this policy, including any legal retention period, or for as long as necessary to carry out legitimate and reasonable promotion of our products and services.
DATA SECURITY
HIBN - Hispanet protects your personal information against unauthorized access, use, or disclosure. To this end, HIBN - Hispanet uses the SSL Protocol and encrypts Personally Identifiable Information at rest. We also store your personal information on servers provided by external hosting providers that we have contracted.
We strive to adopt appropriate security measures to protect against unauthorized access or alteration of your personal information. Unfortunately, no data transmission over the Internet or any wireless network can be 100% secure. As a result, while we strive to protect your personal information, you acknowledge that:
there are inherent security and privacy limitations to the Internet that are beyond our control;
and that the security, integrity, and privacy of all information and data exchanged between you and us through this Site cannot be guaranteed.
SHARING INFORMATION WITH THIRD PARTIES
HIBN - Hispanet does not sell, rent, or lease its customer lists to third parties.
HIBN - Hispanet may occasionally contact you on behalf of external business partners to offer you specific proposals that may be of interest to you. In such cases, your unique personal identification information (email, name, address, phone number) is transferred to a third party. HIBN - Hispanet may share data with trusted partners to help perform statistical analysis, send you emails or postal mail, provide customer support, or organize deliveries. All these third parties are prohibited from using your personal information except to provide these services to HIBN - Hispanet, and are required to maintain the confidentiality of such information.
We also share your business information, along with the company representative's data (name, email, phone), with Odoo S.A. if you register for the Odoo Retail Solution.
HIBN - Hispanet may disclose your personal information without prior notice if required by law or if, in good faith, it believes that such action is necessary to:
Comply with legal mandates or respond to legal processes notified to HIBN - Hispanet or the Site, such as responding to a subpoena, a search warrant, or other legitimate requests for information we receive;
Protect and defend the rights or property of HIBN - Hispanet; or
Act under urgent circumstances to protect the personal safety of users of HIBN - Hispanet or the public at large.
When required by Data Protection Laws, we will obtain your prior consent before processing your personal information for these purposes. Under the California Civil Code, if you are a California resident, you may email contact@HIBN - Hispanet.com to request your personal information and ask that such information not be shared with third parties for direct marketing purposes.
You have the right to access the personal information we hold about you and to request that such information be corrected, updated, or deleted. If you wish to exercise this right, please contact us using the contact information provided below. We will not discriminate against you for exercising these rights. If you request the deletion of your account, you may contact us to request a new account. We currently do not offer account management on our website or any online portal; therefore, it is not possible to restore or recover an account that has been deleted.
Your personal information may be transferred and processed in countries outside of yours, including those that may not offer the same level of data protection. In such cases, we rely on appropriate safeguards—such as the European Commission's Standard Contractual Clauses or other legally recognized mechanisms—to ensure that your information remains protected.
In all cases, HIBN - Hispanet transfers personal data only when we can ensure that there are adequate safeguards in place to protect your rights. These safeguards may include transfers to countries that have adequacy decisions, or transfers made through contractual mechanisms, such as Standard Contractual Clauses.
You can review your rights as a Data Subject under the General Data Protection Regulation (GDPR) of EU legislation. Every Data Subject has eight rights. These are:
The right to be informed: this means that any entity processing your personal information must clarify what data it is processing, why it is doing so, and to which other third parties such data may be disclosed.
The right of access: this is your right to inquire what data about you is held by a Data Controller.
The right to rectification: the right to have your personal information corrected or modified if the data held is incorrect in any way.
The right to erasure: under certain circumstances, you may request that your personal data be deleted. This right is also known as the "right to be forgotten." This right would apply if the personal data is no longer necessary for the purposes for which it was collected, if you have withdrawn your consent for the processing of such data, or if the personal data has been processed unlawfully.
The right to restriction of processing: this grants the Data Subject the right to request a temporary suspension of the processing of their personal data, for example, when a dispute or legal case needs to be resolved, or when the data is being corrected.
The right to data portability: the Data Subject has the right to request that any data they have provided directly to the Data Controller be delivered to them in a structured, commonly used, and machine-readable format.
The right to object: the Data Subject has the right to object to the further processing of their data when it is incompatible with the main purpose for which it was collected, which includes profiling, automation, and direct marketing.
Rights in relation to automated decision-making and profiling: Data Subjects have the right not to be subject to a decision based solely on automated processing.
While we currently do not engage in automated decision-making that significantly affects you, we may in the future use limited profiling to personalize our communications based on your expressed interests or the referral source. Such profiling will never be used to make decisions that produce legal effects or similarly significant effects, and you will be able to opt out at any time by contacting us.
RIGHT TO ERASURE
Subject to certain exceptions detailed below, upon receiving a verifiable request from you, we will proceed to:
Delete your personal information from our records; and
Instruct any service provider to delete your personal information from their records.
Please note that we may not be able to comply with requests to delete your personal information if it is necessary to:
Complete the transaction for which the personal information was collected, fulfill the terms of a written warranty or a product recall made in accordance with federal law, provide a good or service requested by you (or reasonably anticipated in the context of our ongoing business relationship with you), or otherwise comply with a contract between you and us;
Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activities, or prosecute those responsible for such activities;
Perform audits to identify and correct errors that affect existing intended functionality;
Exercise the freedom of expression, guarantee the right of another consumer to exercise their freedom of expression, or exercise any other right provided by law;
Comply with the California Electronic Communications Privacy Act; Participate in scientific, historical, or statistical research of public interest—whether public or subject to peer review—that complies with all other applicable ethical and privacy laws, in cases where our deletion of the information could make it impossible, or severely hinder, the achievement of such research, provided that we have obtained your informed consent;
Allow exclusively internal uses that are reasonably aligned with your expectations, based on your relationship with us;
Comply with an existing legal obligation; or
In any other way, use your personal information internally in a lawful manner that is consistent with the context in which you provided such information.
VOLUNTARY OPT-OUT OPTION REGARDING THE DISCLOSURE OF PERSONAL INFORMATION TO THIRD PARTIES
In relation to any personal information that we may disclose to a third party for commercial purposes, you have the right to know the categories of personal information about you that we have disclosed for such commercial purposes.
Under the California Consumer Privacy Act of 2018 (CCPA) and other applicable privacy and data protection laws, you have the right to opt-out of the disclosure of your personal information. If you exercise your right to opt-out of the disclosure of your personal information, we will refrain from disclosing it unless you subsequently provide express authorization for such disclosure.
To opt-out of the disclosure of your personal information, please contact us at contact@HIBN-Hispanet.com to request information regarding your Personal Data and to ask that your information not be shared with third parties for direct marketing purposes.
VOLUNTARY OPT-OUT OPTION FOR EMAIL COMMUNICATIONS
We may send you promotional emails or newsletters to share product updates, industry insights, and marketing offers. In jurisdictions that require prior consent (such as the EU or Canada), we will only send these communications if you have expressly opted in to receive them. In other regions, such as the United States, you may receive these communications unless you choose to opt-out, which you can do at any time through the unsubscribe link. We use third-party service providers to manage our email communications, and we may employ tracking technologies to measure interaction with these messages (e.g., open and click rates).
SMS COMMUNICATIONS
We can send SMS messages (text messages) for business-related purposes, such as service updates, appointment reminders, or account-related notifications. We may also send you promotional SMS messages if you have opted to receive them. Message and data rates may apply, depending on your mobile carrier. You can opt out of receiving promotional messages at any time by responding with the word STOP. Or contact us atinfo@hispanet.biz
